RESERVATIONS: All requests are subject to availability at time of payment. Certain bookings may have advance purchase restrictions.
PACKAGE PRICE/SURCHARGES: Operator reserves the right to re-invoice participant(s) in case of error made in computing our tour prices. All prices quoted are based on airfares and land rates (including hotel prices) that are in effect at the time of request and are subject to change without notice. Most packages require full payment 24hours after confirmation of services and are non-refundable. Tour prices do not include: passport and visa fees, excursions and sightseeing tours not mentioned in tour features, meals and beverages not mentioned, excess baggage fees, airport taxes, air supplements, weekend surcharges, extra charges for room occupancy before or after normal check-in /out times, tips, laundry charges, room service charges, and items of a personal nature.
HOTELS: Space is subject to availability. If your requested hotel is not available as a courtesy the tour operator will confirm an alternate and the package rate will be adjusted if necessary. It is the passenger/travel agent’s responsibility to notify the operator of acceptance of any alternate hotels within 24hrs of booking. Failure to do so may result in cancellation of services. Rooms are assigned on a run-of-the-house basis by hotel management upon check-in and specific requests (adjoining rooms, rooms with certain views, wheelchair accessible) cannot be guaranteed. Single rooms are usually smaller in size than twins or doubles and have one small bed. Triples are usually a standard twin/double plus a rollaway, or sofa bed. All accommodations are with private bath or shower and include all hotel taxes. Not all hotels, or hotel rooms are air- conditioned. Air conditioning systems may not be equivalent to American standards. We cannot guarantee that the service will be in operation at any given time and cannot be held responsible for any such lack of operation at the time of stay. Hotel check-in time cannot be guaranteed. Standard hotel check in time is after 2pm and checkout is normally required by 11:00 am.
HANDICAPPED FACILITIES: Wheelchair accessible rooms may not be available in all packages. They may be requested but cannot be guaranteed. If the operator is notified at time of initial request every effort will be made to offer handicapped facilities. Standards may vary from property to property, and country to country, and are not within the Operator’s control. Ground transfers may not be available for passengers with wheelchairs.
AIR TRANSPORTATION: Based on regularly scheduled service on available carrier. All applicable airline rules apply. Schedules are subject to change without notice by air carrier and are not under the control of the operator. As a courtesy the tour operator may accommodate you on another available carrier. Failure to check-in at least two hours prior to departure may result in denied boarding, and no refund will be granted.
BAGGAGE ALLOWANCE: Passengers are financially responsible for excess baggage fees charged by air carriers or ground transportation providers.
GROUND TRANSPORTATION: Transportation between airport and hotels may not be offered in all packages. For packages that include transfers they may be operated by minibus to hotel or rail to city center.
PASSPORT/VISA: All passengers must have a valid passport. VIRGIN VACATIONS is not responsible for the provision of passports or visas. Please check with the appropriate consulate for details.
DOCUMENTS: You are responsible to check all of your documents upon receipt and to verify that they are accurate and complete. Failure to do so may result in additional costs to you.
PAYMENTS: Full payment will be charged directly to the credit card given at time of booking. By agreeing to these Terms and Conditions you agree and authorize Virgin Vacations to charge your credit card for the full amount of your booking. You agree to waive any charge back rights. The credit card holder must be one of the passengers. Any other person or entity (including a travel agent) that receives monies from participant does so strictly as an agent of the participant. Tender of payments to Virgin Vacations constitutes acceptance of these terms and conditions. Full payment is required for all packages at time of booking.
Payments received 7 days or less prior to departure from the US will be assessed a $32 fee before documents will be issued.
REVISIONS: All revisions to the original booking are subject to a minimum of $50 per person fee prior to full payment and $300 per person plus supplier fees once paid in full.
CANCELLATIONS/REFUNDS: Before final payment is received, a cancellation fee of $100pp plus any supplier fees (see below) will be charged. Packages are non-refundable once paid in full.
Supplier fees include: additional fees for air tickets, theater tickets, rail tickets, transfers, sightseeing, travel insurance, car rentals or other services and cancellation fees will be confirmed at time of cancellation. All requests for refunds must be submitted in writing to our Customer Relations department within 30 days of cancellation or completion of trip. All appropriate receipts and documentation must accompany the request. Unused open service vouchers will be subject to a $50 processing fees. Please allow 6-8 weeks for refund processing.
RESPONSIBILITY AND LIABILITY: VIRGIN VACATIONS is operated by Europe Express (Hereafter known as “Operator”). The Operator is responsible for arranging and providing all of the services and accommodations offered in connection with these trips. The Operator does not own or operate, nor is it an agent for any of the firms which will provide goods and services for the trip or for any option which may be available in connection with the trip (including optional sightseeing, car rental, etc.) and the Operator has not priced the trip or option to allow Operator to guarantee against failure of any such firms. Accordingly, participant(s) agree to seek remedies directly with the supplier, and not to hold the Operator or sponsoring organization liable, in the absence of its negligence, for any loss, injury, delay or expense which results directly or indirectly from any action or omission, whether negligent, criminal or otherwise, of any entity providing goods and services for the trip or any available option (e.g. without limitation, the quality of services, cleanliness of a hotel, hotel overbooking or any flight delays). Participant(s) also agree not to hold Operator or sponsoring organization liable for circumstances beyond its control (e.g. force majeure). Participant(s) acknowledge that neither Operator not its agents have made any representation or promises with respect to the tour described Herein except as expressly set forth in Operator’s literature, unless such agreement is in writing and signed by an officer of Operator. At any time, Operator may decline for any reason any person as a participant on a trip (or Option) whereupon the Operator’s only obligation shall be to refund such person that portion of payment allocable to the unused services. Operator or any airline supplier referred to in this brochure reserves the right to cancel, change or substitute any service for any reason. The sole responsibility of any airline used in any tour is in relation to carriage by air only, and is limited to that set out in the passenger contract evidenced by the ticket, and as provided by international convention.
FORUM FOR DISPUTES: The sole and exclusive forum for any legal claims you may make against Virgin Vacations as operated by Europe Express shall be the United States District Court for the Western District of Washington in Seattle, Washington.
